Summary
The Assistant Manager, Medical Editing works with authors of scientific articles in English and French and edits manuscripts to produce flawless copy ready for publication in Canadian Family Physician. This position is also responsible for updating the department editing style guide. The Assistant Manager, Medical Editing attends all department meetings, including the weekly editorial look-ahead meeting and the monthly manuscript hanging committee meeting. The Assistant Manager, Medical Editing oversees the work of two Medical Manuscript Editors and acts as a backup to the Managing Editor in their absence

Main responsibilities include but are not limited to:

Essential duties:

Edit scientific manuscripts
  • Substantively edit manuscripts for the journal in English and French to apply the rigorous standards of scientific publication, reference citation, medical publishing format, and accepted style conventions
  • Communicate with physician authors; help them sort through clarity issues and inconsistencies within manuscripts
  • Collect required elements for publication (e.g., permissions, tables, copyrights etc.) Write titles, subheadings and key points
  • Format references and ensure they are in the correct order and are appropriate for the text in which they are cited
Manage work of Medical Manuscript Editors and support Managing Editor
  • Act as back up for the Managing Editor, oversee the work of Medical Manuscript Editors
  • Maintain and update the editorial style guide
  • Attend meetings, including the weekly editorial look-ahead meeting and the monthly manuscript hanging committee meeting
  • Provide leadership on special editorial initiatives and creative concepts for articles
Copy editing and proofreading
  • Review manuscripts, check for mistakes or style inconsistencies
  • Proofread and copy edit page and/or issue proofs, in French and English, ensuring text is error free, page numbers correspond to impositions, and all article elements (running heads, colours, etc.) are correct
Communicate with authors
  • Prepare galley proofs, including a list of questions, to send to authors
  • Ensure all questions about inconsistencies and errors are clearly written and easy to understand
  • Discuss manuscript edits with authors, including Francophone authors. Oral and written proficiency in French is required when communicating with Francophone authors
  • Track and insert authors' changes
General management duties
  • Develop, provide input, and/or implement Policies and Procedures
Supervisory duties
Implement staffing plans of the team/department
  • As a Hiring Manager for direct reports, collaborate with Human Resources to develop recruitment plans based on staffing needs, participate in internal and external job candidate selection, including screening, conducting interviews, testing, and onboarding. Authorize all hiring/promotional decisions, ensuring compliance with all related policies and regulations
  • Implement adequate staffing levels for all direct reports to ensure service delivery and manage requests for time off in the CFPC Time Management System
  • Set performance goals and project deadlines that align with CFPC vision, mission, strategic plan, and team/departmental priorities in consultation with the Director. Organize workflow, delegate work to employees, monitor and address issues with productivity or work quality, track progress, and provide constructive feedback and coaching
  • Supervise direct reports and manage the performance of individuals through ongoing coaching, feedback, and development to motivate, engage and drive a high performing team
  • Promote and model the highest level of service (internally and/or externally) and ensure that direct reports deliver a maximum level of service and satisfaction is achieved and maintained. Work quickly to resolve complaints
  • Determine rewards and recognition within established policies and guidelines, both formal and informal, based on performance
  • Serve as an appropriate communication link between employees and all levels of management ensuring that everyone is kept informed
  • Ensure adherence to legal and organizational policies and procedures and undertake disciplinary actions if the need arises
  • Adhering to budget policies and procedures, and in consultation with Finance, manage operating and capital budgets for the team/department, including forecasting estimated and actual costs. Ensure cost control and expenses are in alignment with the budget
Related duties

Qualifications

  • Undergraduate degree in science, English, French, or journalism
  • 5 years of editing experience
  • Verbal and written communication skills, with the ability to express ideas and opinions clearly and effectively in English

  • Advanced knowledge of American Medical Association style
  • Writing, communication, copy, accuracy skills, and the ability to conduct literature searches of medical publications
  • Intermediate Microsoft Suite, 365 Collaboration tools, AODA compliancy requirements for print and electronic documents, InCopy editing software and medical terminology
  • Related competencies: business acumen, customer focus, courage, positive approach, communication, building partnerships, influencing, building talent, inspiring others, driving for results and facilitating change


  • All candidates for a designated bilingual position must successfully complete a third-party assessment (both written and oral). Based on our current provider, candidates must achieve “superior” in all four bilingual tests: written comprehension; vocabulary structures; written expression; and oral expression
  • Occasional after hours or weekend work
  • No physical demands of this role
This role is based in Mississauga and the successful candidate may have the ability to work remotely in accordance with the Organization’s policies and procedures dealing with remote and/or hybrid work arrangements in effect from time-to-time. Our current hours of operation are Monday to Friday 8am to 5pm ET.
